About the Job

The position will be responsible for management of facility resources and staff in compliance with Nightlight Pediatric Urgent Care policies and procedures and ensures the clinic is running smoothly and that patient flow is at the optimum. Duties include, but are not limited to, participating in interviewing, hiring, orientation and training of personnel, performance management of personnel, assures timely and proper scheduling and staffing, assures clinic meets regulatory and internal standards, financial reporting and profit and loss management, marketing in the community and assures service standards are being achieved.  Ops Manager will resolve customer service issues during shift and will be escalation path for clinic staff.  Ops Manager will report all patient complaints to Nightlight management team for further review and resolution.

Essential Functions and Duties

  • Provides leadership and support for the clinic to include: 
    • Establishes action plans and goals to achieve clinic growth, budgeted profit, clinical quality and service expectations in conjunction with Nightlight Management Team 
    • Proactively addresses clinical, compliance and service issues and implements solutions/ corrective action 
    • Communicates in an effective/ professional manner with clinic staff to ensure goals are comprehended and attained 
    • Responsible for day-to-day operational issues.  Must work at least during business hours three times/week, including weekends, to be available for staff and audit operations 
    • Responsible for scheduling clinic staff and ensuring shifts are covered
    • Collaborates with Human Resources to assure adequate and competent personnel at clinic
    • Supports the development of the clinic budgets in collaboration with the Urgent Care Director and CFO
    • Assures compliance with laboratory regulations, HIPAA, OSHA and other regulatory bodies in clinic
    • Keep clinic in running order by servicing equipment, scheduling routine repairs and maintenance
    • Supports the attraction and retention of talent.
  • Growth:
    • Works with Urgent Care Director to identify and implement mechanisms to secure new patient volume and favorably distinguish the company from its competitors
    • Assures that service standards are being achieved. Monitors the scorecards for opportunities for improvement as it relates to the patient experience
    • Represents the company at events dedicated to raising awareness about the company and its services
  • Budget Achievement:
    • Accountable to Urgent Care Director for achieving individual clinic budgets
    • Ensures clinic visit and financial growth
    • Identifies and implements cost containment strategies
    • Staffs clinic and administrative personnel based on historical and current volume trends to ensure productivity and growth targets
    • Participates and contributes to strategic and project plans ​
  • Clinic Management:
    • In collaboration with Human Resources, oversees recruitment and on-boarding of clinic staff
    • Hires, oversees, and evaluates the performance of clinic staff
    • Recommend staff additions
    • Recommend continuing education and leadership development for clinic personnel
    • Ensures that company policies and procedures are administered and followed; makes recommendations for improvements in process and policy based on field experience
    • Assures care delivery and administrative procedures are carried out in accordance with the company policies and procedures  
    • Monitors clinical care and delivery to ensure a quality clinical product is provided on a consistent basis
    • Monitors the door to door patient experience and assures that care and service are being delivered consistent with the Nightlight Pediatrics mission and goals
    • Supports and motivates clinic personnel in achievement of targets and professional growth
    • Assures that the clinic achieves licensure or accreditation with the appropriate entities where applicable
    • Oversees/Coordinates training and education of clinic staff
    • Treats patients and co-workers consistent with the Nightlight Pediatrics Mission Statement, Vision, Values and Performance Standards.
    • Attend monthly operations meetings and other meetings as required

Minimum Education

  • High School Diploma or higher
  • Must have successfully completed and graduated from a medical assistant program (certified MAs preferred) or have LVN certification.

Position Requirements

  • At least 3 years of Progressive leadership in healthcare operations and management
  • Competence of standard healthcare and business procedures and polices
  • Computer proficiency in MS Office: Word, Excel and Power Point
  • Flexible work schedule
  • Ability to work independently, multitask, lead a team of multiple employees

Certifications, Licenses, and Registration

  • Current CPR certificate
